When to Replace a UPS Battery, Not the Whole Unit

A backup unit that beeps constantly, or that drops the machine within seconds of an outage, usually has a dead battery inside perfectly good electronics. The cell is a consumable and a replacement costs a fraction of a new unit — this is one of the few genuinely repairable things behind a desk.

The problem, as it appears
The unit starts announcing itself. Some beep periodically, some show a fault light, and some behave normally right up until the first real outage — at which point they carry the load for a few seconds and then drop it, which is the worst possible time to discover the problem.
The instinct is that the unit has failed, and the usual response is to buy a new one. That is frequently a purchase of electronics that were working, wrapped around a battery, because the battery was the part that aged.
Why the self-test disappoints
Most units run a periodic self-test and many will pass it with a substantially degraded battery. The test is brief and lightly loaded, and a tired cell can hold voltage for those few seconds while having almost no usable capacity left.
This is why people are surprised. The unit said it was fine last week. It was answering a much easier question than the one an actual power cut asks.
The practical response is not to trust the self-test as a capacity measure. If the unit is past three years, treat the battery as suspect regardless of what the panel says, and test it properly by pulling the plug deliberately while nothing important is running.
What actually matters
The age. Sealed lead-acid cells in consumer units last roughly three to five years. This is chemistry rather than usage — a unit that has never had an outage ages at much the same rate as one that has, because it spends its life float-charged and warm.
How hot it has been. Heat is the dominant accelerant. A unit tucked behind a desk against a radiator, or sitting in the exhaust path of a PC, will reach the short end of that range. This is the single biggest thing within your control.
The exact cell specification. Replacements are identified by voltage, capacity and terminal type, and the physical dimensions have to match the compartment. Manufacturers publish the correct part; generic equivalents in the same specification are common and generally fine.
Whether it has swelled. A cell that has visibly deformed is done, and the unit should come out of service until it is replaced. It also indicates the unit has been running hot, which is worth addressing before fitting a new one.
The options, and who each suits
A replacement cell suits any unit whose electronics are working — which is most of them. It is usually a panel, two spade connectors and a few minutes, and manufacturers document the procedure because it is expected.

Improving where it sits costs nothing and extends the next battery's life. Out of the PC's exhaust path, away from radiators, with clearance around the vents. A shelf that lifts it off the floor and routes its cables is worth it mainly for keeping the vents clear and making the unit accessible when the battery next needs doing.

A new unit suits a unit old enough that the electronics are also near end of life, or one whose capacity was always marginal. If a replacement cell approaches the cost of a new unit — which happens with the smallest models — the arithmetic favours replacing.

The mistake to avoid
Disposing of the old cell in household waste. Sealed lead-acid batteries are recyclable, contain lead, and are accepted at any facility that takes car batteries — frequently including the retailer selling the replacement.
The second mistake is fitting a new cell into the same hot corner that killed the last one. If a battery lasted two years rather than four, the position is the reason, and moving the unit somewhere ventilated is a free improvement that roughly doubles the interval before this page becomes relevant again.
